Logistics is where international offsites either feel effortless or fall apart. The difference is almost always in three areas: visas, flights, and transfers. Get those right and the rest is recoverable.

T-90 logistics checklist
- Survey all attendees' passports — country, expiry date
- Identify visa requirements per attendee × destination matrix
- Start visa applications immediately for any flagged attendee
- Lock travel partner for centralised flight booking
- Block hotel rooms for attendees arriving early or staying late
Centralise flights — always
Use one travel partner. Self-booked flights create chaos in arrivals (everyone landing at different terminals at different times), refunds (someone always cancels), and last-minute changes (someone always misses a flight).

Always book the transfer
The taxi line at a foreign airport at 11pm is where good offsites die. Pre-booked private transfers, every time. Stagger them — one coach for the 2pm batch, private cars for late arrivals.
Brief the transfer company with a printed list of all flight numbers and ETAs. Have one on-call ops person watching arrivals in real time.
Build a 24/7 ops channel
- One WhatsApp group with two on-call organisers (rotating)
- Printed emergency contact card given to every attendee on arrival
- Local SIM or international roaming for both ops leads
- Pre-identified nearest hospital and English-speaking clinic
- Backup transfer company on standby
- Petty cash in local currency for the inevitable curveball
