The Offsite Agenda Template Every Planner Should Steal
A proven 3-day company offsite agenda template balancing strategy, bonding and recovery.
A bad agenda is the difference between an expensive vacation and a year-defining week. The good news: the 3-day arc that works for 80% of company offsites is well-understood. Steal this template, adapt it to your outcome, and you'll dodge the most common planning mistakes.
This post lays out the full agenda hour by hour, with the rationale behind each block.
Day 0 — Arrivals and the welcome dinner
Stagger arrivals from lunch onward. Pre-book all transfers — the taxi line at a foreign airport at 11pm is where good offsites die. Welcome drinks at 6:30pm in a casual outdoor space; dinner at 7:30pm.
Keep the welcome dinner short, warm and free of speeches longer than three minutes. The CEO can say a few words; nobody else should hold the mic. The job of night one is to lower walls, not announce strategy.

Agenda design rules we never break
- End formal programming by 6pm every day
- One contrast moment per day (sunrise swim, long walk, sunset hike)
- No back-to-back plenary blocks longer than 90 minutes
- Optional activities only — never mandatory adrenaline
- Always finish day three ahead of schedule
- Build in 20 minutes of buffer per session — agendas always run long
